Important Elements of a News Release:

  1. A news release is one to two pages in length. If the document is more than one page, type “(more)” on the bottom of page one. Type “###” at the bottom of the last page to indicate the end of the news release.

  2. Double space the body of the news release, use 8 ˝” x 11” paper, and use company letterhead for the first page.

  3. On the first page, top left hand corner of the page, the words “FOR IMMEDIATE RELEASE” should appear.

  4. Adjacent to the release statement, the contact person’s name, position, telephone number, email address, and organization name should be included.

  5. Double space after the contact information and begin the headline of the news release, using capital letters.

  6. Press releases begin with the city location and state abbreviation followed by one long dash.

Important information to include in a press release:

  1. One or two quotes from someone in the organization, a satisfied consumer or a non-biased source.

  2. The company’s on-line address.

  3. Statistics and facts that support the issue being addressed and make the information newsworthy.

  4. Some background information on your organization (i.e., length in business, field of expertise.)
